Title: Finance and Admin Intern

POSITION SUMMARY
Under the supervision of the Finance and Admin Officer and the Executive Director, the Finance and Admin Intern will assist in financial operations, contribute to accurate financial reporting, and uphold confidentiality in all financial matters.
RESPONSIBILITIES
- Assist with day-to-day financial and administrative operations, including basic bookkeeping.
- Support the preparation of financial reports and budgets.
- Maintain an organised transparent financial filing system for finance-related documents.
- Help ensure compliance with donor requirements by supporting document preparation and tracking deadlines.
- Follow organizational policies and donor regulations in all financial activities.
- Provide support for administrative and operational tasks as needed, including logistics.
- Ensure accuracy and confidentiality in handling financial information.
- Other duties as assigned.
QUALIFICATIONS:
- Currently pursuing or recently completed a Bachelor’s Degree in Finance, Accounting, Business Administration, or a related field.
- Familiarity with basic bookkeeping principles; prior experience in finance or accounting through internships or volunteer work is a plus.
- Basic knowledge of accounting software, such as QuickBooks, with a willingness to learn and develop proficiency.
- Understanding of financial policies and procedures.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks.
- Proficiency in English, both written and oral.
- A proactive attitude toward learning and growth in financial management.

RESPONSIBILITIES
- Manage day-to-day financial operations, including maintaining accurate bookkeeping and processing payments.
- Prepare and analyse financial reports and budgets.
- Daily booking of all transactions and reconciliation of cash and bank balances using a double-entry bookkeeping system.
- Provide reports detailing income, expenditure, and cash/bank reconciliations.
- Maintains an efficient, proper, and transparent financial filing system for all documents relating to finance.
- Monitor compliance with donor requirements, ensuring all deliverables and deadlines are met.
- Ensures that all financial activities are conducted under organizational policies and donor regulations.
- Oversees operational tasks including contracts management, reporting, human resources, financial management and accounting, procurement, compliance, administration, and logistics.
- Ensure financial accuracy and confidentiality.
- Other duties as assigned.
QUALIFICATIONS:
- Bachelor’s Degree in Financial Management, Accounting, International Business Administration, or a related field. Master’s Degree preferred.
- Minimum of 4 years of relevant professional experience in financial management. Experience in managing financial aspects of international projects or donor-funded programs is preferred.
- Expert-level proficiency in QuickBooks.
- Certifications in accounting, specifically in quickbooks.
- Thorough understanding of Law No. 06/L-032 on Accounting, Financial Reporting, and Auditing in Kosovo, with the ability to apply this knowledge in practical scenarios.
- Knowledge of international auditing standards (e.g., ISA), and experience in audit compliance.
- Experience in analyzing budget trends, monitoring funding levels across multiple accounts, and providing insightful financial analysis.
- Proven experience with local or international NGOs, including project and budgetary planning, reporting, auditing, and NGO reporting.
- Professional fluency in English, both written and oral
- Strong analytical and problem-solving skills, with a proactive approach to identifying and addressing financial issues.
